Make every meeting count: Your guide to getting the most out of Black Book

With two days of pre-scheduled appointments ahead, Black Book is all about making meaningful connections and discovering new opportunities for your business.

Whether you're a luxury travel advisor looking for exciting new products or an exhibitor keen to build lasting partnerships, a little preparation can go a long way.

Here are our top tips to help you make every meeting count.

1. Do your homework

Take some time to review your meeting schedule on Swapcard and familiarise yourself with who you'll be meeting. Look through their profiles, consider potential opportunities and identify a couple of questions you'd like to ask.

2. Know what you want to achieve

Think about what a successful meeting looks like for you. Are you hoping to discover new products, strengthen an existing relationship or explore a potential partnership? Having a clear objective will help you make the most of your time.

3. Have your introduction ready

Be ready to introduce yourself and your business in 30 seconds. Explain what makes you different, who your clients are or what you can offer. Keep it relevant, engaging and leave plenty of time for conversation.

4. Ask the right questions

The best meetings are conversations, not sales pitches. Ask open-ended questions, listen carefully and look for opportunities where you can work together.

For advisors: What experiences would appeal to your clients? What makes the product different? What support and benefits are available to your business?

For exhibitors: What types of clients does the advisor work with? What destinations or experiences are in demand? How could you support them in generating more bookings? What assets could you supply to help them further?

5. Keep an eye on the clock

Your meetings are carefully scheduled, so make every minute count. Arrive on time, stay focused and be mindful of when your next appointment begins – both as a courtesy to your own meetings, and to the people coming after you. If a conversation needs longer, arrange to continue it during a networking break or after the event. The private messaging functionality within Swapcard will remain open and the data of who you met will be shared post event.

6. Take notes while it's fresh

With so many conversations across two days, it's easy for details to blur together. Make a note of key takeaways, opportunities and any agreed actions after each meeting. You can use the Swapcard app to keep track of your connections and rate each interaction. You will also receive a special Black Book notebook, thanks to our friends at Liberty Rock.

7. Make the most of unexpected opportunities

Some of the most valuable connections happen outside scheduled meetings as well. Use breakfasts, lunches, refreshment breaks and networking opportunities to continue conversations, exchange ideas and meet new people.

8. Don't forget to follow up!

A great meeting is just the beginning. Connect on LinkedIn, send a personalised follow-up and deliver on anything you've promised. Be specific about your next steps and keep the conversation going beyond Black Book.
